While paper document storage has worked well in years’ past, there are reasons why businesses are turning away from it in favor of virtual storage options. Here are problems that can pop up as a result of paper document storage.

Higher Chance of Document Theft

A big risk that comes with paper document storage is the higher chance of document theft. When files are stored virtually, they’re protected in an online space that can only be accessed by personnel who have the right login credentials.

With paper document storage, files are stored using methods such as cabinets, drawers, and folders. These don’t offer the same level of protection, meaning that thieves have a better chance of procuring your sensitive document information.

You Can Run Out of Space

Another concern with paper document storage is that there’s a limit to the amount of space your business has. As such, you’ll have trouble fitting all of your business’s documents as you continue to accumulate more files.

This will force you to either increase the size of your business or store your papers with help from a third-party document storage company. Both of these options will come at a cost. When you store files virtually, you’ll always have enough space to store the files you have.

Paper Files are Susceptible to Natural Disasters

While storms aren’t always common, they’re always a possibility. As such, you want to make sure your files are protected from storms and other emergencies, such as fires. Paper document storage is risky in this regard because physical papers can be damaged by these types of conditions. Digital document storage is safer because your files will have sufficient protection, even if your business experiences a natural disaster. This makes document recovery much easier for businesses that embrace digital document storage.
